The integration of internal and external service providers in raum]für[raum® is essential for the synchronous flow of various processes, that result in a successful meeting. The service providers have their own view that lists the orders and services, that they have to render obligatorily for a meeting. These can be catering, IT or inventory services depending on the responsibilities of the work group. The service providers have access to all relevant information and they are also automatically informed about possible modifications. Time-consuming telephone calls or e-mails, in which the service providers must be notified separately, are no longer necessary. Transparency and the coordination of processes ensure that the desired services are provided reliably and punctually.

Define responsibilities

The internal and external service providers for all locations or building sections are set up in raum]für[raum®. You can determine in the configuration of the system which service provider is responsible for the delivery of which service at which location. Thus, the software acts in accordance with the reality of your company.

Obligatory orders

The orders, that the users place for their meetings, converge in lists which are only available for the service providers. The specific lists correspond of course with the respective responsibilities. Therefore, the service providers always have an accurate overview of the services they have to render obligatorily on the present day or in the current week. If the bookings are modified by the users, the service providers receive an automatic update.

Structured workflows

The order view offers many different functions to support the service providers to carry out their tasks. This includes, that the status of a meeting is visible at a glance and that all modifications are saved in the history of the booking. The order can be marked as “done” with only a few clicks, printed as a list or embedded in individually configurable PDFs.

Transparent communication

raum]für[raum® also offers the right solution, if a communication between users and service providers is desired. It is possible to configure the available resources in such a way, that the service providers are enabled to give feedback about their processing status. Moreover, the service providers can be allowed to determine the actual consumption of resources that were ordered for a meeting.
